The commented PDF is one of two standard deliverables from a Xenmark review. Each annotation is numbered so the engineering firm can locate comments spatially and cross-reference them with the Excel list.
Steps
- Complete the review. Ensure all comments and annotations are in place. See Add comments if you are still adding items.
- Export to PDF. Use the export action to generate the commented drawing. Xenmark overlays all annotation markers on the original drawing PDF.
- Check item numbers. Confirm that item numbers in the PDF match those in the Excel export. Both files should share the same numbering.
- Share the deliverable. Send the PDF to the engineering firm or store it alongside the Excel file in your document management system.
Item number consistency
The PDF and Excel exports use the same item numbers. The engineering firm can read either document and find the same comment under the same number. Avoid renumbering comments manually after exporting — if you add or remove comments, re-export both files together so they stay in sync.
Keeping the original source PDFs
Xenmark stores drawing PDFs for active and archived projects within plan retention limits. Keep copies of the original source PDFs you uploaded on your own storage. See Plans and limits for retention details.
The exported PDF is a coordination document showing review comments. It is not a certified approved drawing, a legally stamped document, or a permanent archive record. Store the full archive bundle — available when you close the project — for a complete record.
