How do I write a drawing transmittal letter?
Drop the drawings you are sending. The list fills itself with each drawing's number, title, revision, sheet size and number of sheets where the PDF records them; correct anything, or add a document by hand.
Fill in the reference, date and project, who it is to and from, your logo if you want one, what the documents are sent for, a short message and the signature.
Select Make Word letter or Make PDF, or both, and download the files before leaving the page. List as CSV gives the documents alone as a spreadsheet.
Where does the list of drawings come from?
A drawing transmittal is the letter that goes with an issue of drawings: who it is to and from, what is enclosed, at which revision, and why. Drop the drawings you are sending, check the list it reads from them, fill in the letter, and download it as a Word document or a PDF.
Each dropped PDF is read in this tab. The drawing number comes from the sheet labels the PDF records, or from its file name; the title from the document's properties, a sheet's bookmark or the file name; the revision from the file name or title, written as rev C, Rev.02 or a code such as P01 or C02 at the end; and the sheet size and count from the pages. Anything the file does not say is left empty rather than guessed, and every value can be edited. The Word letter is laid out like the PDF but stays editable, so it can go onto your own letterhead. A multi-page PDF is one line, or one line per sheet if you ask for it. Once the drawings are out, Xenmark lets the recipients review them and comment on the same sheets.

Limitations
What this tool does not do, stated up front.
Values read from the drawings are only as good as the PDFs: a file name, page label or title that says something else will be listed as it is, so check the list before sending.
The PDF uses a standard font that cannot show every script; characters outside Western European alphabets are written as ? in the PDF and kept in the Word file, and the tool says which.
The tool does not send anything, prove delivery or keep your details: the logo and the letter exist only in this tab, and nothing is remembered for next time.
Questions
Can I edit the letter after downloading it?
Yes. The Word document is an ordinary .docx with the letter, the table and your logo, so it can be edited, put on your company letterhead or saved as a PDF from Word.
Is my logo uploaded?
No. The logo is read in this browser tab, shrunk to fit 400 by 400 pixels if it is larger, and goes only into the Word file and the PDF you download.
What is a drawing transmittal?
The covering letter that goes with an issue of drawings, listing what is enclosed, at which revision, and what it is sent for, so the issue can be proven later. The recipient can sign and date it on receipt.
Why did Xenmark build a free drawing transmittal tool?
Xenmark AS is a Norwegian software company building browser-based drawing review tools for owners, consultants, operators and other teams that receive and review technical drawings.
