Ships change during their working lives.
Equipment gets replaced. Safety equipment is moved. Rooms and access arrangements are altered. New systems are installed. Small modifications build up over years, and eventually an onboard drawing no longer quite matches the vessel.
The crew usually knows this before anybody ashore does. They see the arrangement every day.
The awkward part comes when the owner wants the drawing updated. Somebody has to explain the real onboard condition to an engineering company well enough for them to understand the scope, ask the right questions and prepare the revision. Xenmark gives the vessel a simple way to start that process from the existing PDF.
Let the crew mark what has actually changed
Start with the latest drawing you have. A crew member can open the PDF in Xenmark, mark the area that no longer matches the vessel and add a short note explaining what is different. That note does not need to sound like an engineering specification. It can be practical:
- extinguisher moved to this bulkhead;
- old pump removed;
- new cabinet fitted here;
- door now opens the other way;
- pipe route differs from drawing;
- equipment number has changed;
- dimension measured on board is approximately 850 mm; or
- arrangement needs to be checked during attendance.
The engineer gets two useful things immediately: where the change is and what the crew is trying to explain. That is already a better starting point than a folder containing one old PDF, seven photos and an email saying “please update drawing”.
Give the engineering company a clearer scope
The crew markup is not the finished engineering work. The engineer may still need dimensions, equipment data, calculations, a site visit, regulatory checks or confirmation from the yard. Some changes will be straightforward; others will not. But the engineer can start from a much clearer picture of what the owner is asking for.
This matters on small update jobs. If the engineering company first has to work out which drawing is current, where each change happened and which photo relates to which comment, a lot of time can disappear before anybody even opens CAD. A marked-up drawing can reduce that initial ambiguity. It may also make it easier for the engineer to quote the job sensibly, because the likely scope is visible earlier.
Keep the follow-up questions beside each change
Even a good crew markup will generate questions.
- “Is this the final location?”
- “Can you confirm the dimension?”
- “Was the old unit removed completely?”
- “Do you have a photo of this area?”
- “Does the same change apply on the sister vessel?”
Those questions are normal. What becomes difficult is when they are mixed into a long email thread containing several different drawing changes at once.

The next person looking at the review sees the question, the answer and the drawing location together. Fire control plans are a good example
Some vessel drawings need to be kept updated as the ship changes, depending on the applicable class, flag, statutory or company requirements. Fire control plans are a useful example of that wider problem. A vessel may have been delivered with a correct plan, then accumulate smaller changes during operation: a fire extinguisher is relocated, equipment is replaced, an arrangement changes during a refit, or another modification affects something shown on the plan.
The exact consequence depends on the change and the vessel. The owner still has to follow the applicable class, flag, statutory or company requirements. But before an engineer can update the document, somebody needs to identify what is different from the drawing. The crew is often in the best position to start that job.
A practical workflow for an onboard drawing update

Upload the current PDF
The owner or vessel starts with the latest known drawing. If there is uncertainty about whether it is the current controlled revision, that should be checked rather than assumed.

Mark known differences on board
Crew members mark the areas that do not match the vessel and add straightforward notes. Where a measurement is useful, it can be added. Where something is uncertain, say that it needs verification instead of guessing.

Add enough context for the engineer
A short explanation, measurement or supporting photo can save a later round of questions. The goal is not to produce a perfect design brief. It is to make the onboard observation understandable from shore.

Invite the engineering company
The engineer reviews the marked-up drawing and asks questions against the individual points that need clarification. That gives both sides one working list of changes.

Review the revised drawing
When the engineer prepares the next issue, the owner or vessel can check it against the original comments. The crew can confirm whether the revised arrangement now matches what is actually on board.

Continue through the required approval process
If the change needs class approval, flag acceptance, survey or another controlled process, the revised documentation still has to follow that route. Xenmark helps organise the work leading up to it. It does not replace the formal approval system.
This is useful for more than safety plans
Fire control plans are one example, but the same practical problem appears with many onboard drawings. Depending on the vessel and the work, that might include general arrangement drawings, machinery-space layouts, equipment plans, piping diagrams, accommodation drawings, electrical layouts, deck arrangements or drawings affected by retrofit work. Not every difference between vessel and drawing has the same importance, and not every change needs the same approval process. The common point is simpler: when the drawing needs updating, the engineer needs accurate information about the vessel as it exists now.
Collect several small changes before commissioning an update
Some drawing changes are too small to justify a separate engineering job every time they happen. An owner may prefer to collect a number of known corrections and deal with them together. Xenmark can act as a running markup of those known differences.
The crew can add a comment when something is noticed. The superintendent can review the list. When there is enough work to justify an update, the owner has a much better scope to send to the engineering company. That is a much cleaner starting point than trying to reconstruct six months of email, WhatsApp messages, photos and notes when the drawing finally becomes urgent.
Make smaller jobs easier to price and manage
The CAD change itself is only part of the cost of updating a drawing. Engineering time can also be spent understanding the request, locating the right area, checking which information is missing and going back to the vessel for clarification. A clear crew markup will not remove that engineering work, and it should never be treated as verified design information. It can, however, reduce avoidable uncertainty.
For the ship owner, that can make a small update easier to describe, easier to quote and easier to follow from the first comment to the revised drawing.
The crew provides onboard knowledge; the engineer is responsible for the revision
There is an important line here. The crew does not need to become the designer. Their job in this workflow is to show what they see on board: this equipment moved, this arrangement is different, this item no longer exists, this dimension should be checked. The engineer then verifies the information and turns it into the correct technical drawing.
That division makes good use of both sides. The crew has first-hand knowledge of the vessel. The engineer has the responsibility and tools to prepare the technical revision properly.
Where formal approval or class involvement applies
Where a vessel is classed and a modification requires class involvement, the classification society’s own approval and follow-up process still applies. If the change needs documentation approval, survey or another follow-up step, that runs through the society’s process rather than through Xenmark, which sits before or alongside it. A simple way to think about it is:
- Crew and owner: identify what has changed.
- Engineer: verify it and prepare the revised drawing.
- Class, flag or other authority where required: review or approve the formal documentation through the proper channel.
Xenmark helps the first two parties communicate around the drawing. It is not the class submission portal.
When this approach makes sense
This workflow is particularly relevant when the vessel has drawings that no longer fully match the onboard arrangement, several small changes need to be collected, or an engineering company needs a better scope before starting work. It can also be useful when the owner wants the crew to review an engineer’s updated drawing before the document goes further, or when a modification will eventually need to move into class, flag or another controlled approval process. The common thread is that the people on board know something the drawing does not yet show.
Giving them an easy way to mark that difference can make the update process much easier for everyone who comes next.
